Terms of Use
Effective date: 28 September 2026
Version: 1.1
These Terms of Use ("Terms") govern your use of TrueFlow.
TrueFlow is operated by Knowhow Technologies Ltd, a company registered in England and Wales under company number 17394261 ("Knowhow", "we", "us", "our").
Our address is 5 Brayford Square, London E1 0SG, United Kingdom.
If you have questions about these Terms, contact support@mytrueflow.uk.
1. About TrueFlow
TrueFlow is a mobile and web software service that helps coaches manage clients, create and deliver programmes, share resources, and track progress.
TrueFlow has two main types of user:
- Coach: an individual who creates a TrueFlow account to manage their clients, such as a personal trainer, yoga or Pilates instructor, strength and conditioning coach, sports coach, nutrition coach, lifestyle coach, or similar professional.
- Client: an individual added to TrueFlow by a Coach who accesses their plan using an access code supplied by that Coach. Clients do not currently create an account using an email address and password.
TrueFlow provides software. It does not itself provide personal training, coaching, medical, physiotherapy, dietetic, nutritional, rehabilitation, or other healthcare services.
2. Accepting these Terms
By creating a Coach account, accessing TrueFlow, or otherwise using the Service, you agree to these Terms.
Clients are required, on first access and when a materially updated version requires re-acceptance, to confirm that they agree to the Terms and have read the Privacy Policy before continuing to the Client area. TrueFlow records the date and time of acceptance and the versions accepted.
If you do not agree to these Terms, do not use TrueFlow.
3. Accounts and access
3.1 Coaches
You must provide accurate information when creating and maintaining your Coach account.
You are responsible for:
- keeping your login credentials secure;
- taking reasonable steps to prevent unauthorised access to your account; and
- notifying us promptly if you believe your account has been compromised.
You must not allow another person to use your account in a way that circumvents TrueFlow's access controls or subscription requirements.
3.2 Clients
Client access is created and managed by the relevant Coach. Clients must keep their access code confidential and must not knowingly allow another person to use it to access their information.
If a Client believes their access code has been compromised, they should contact their Coach or support@mytrueflow.uk.
3.3 Children and young people
TrueFlow does not currently use age verification and Coaches may work with clients who are under 18.
A Coach who adds or manages a child or young person's information is responsible for ensuring that they have an appropriate lawful basis and any authority, parental or guardian involvement, consent, safeguarding arrangements, or other permissions required by applicable law and by their professional obligations.
4. Coach responsibilities
Coaches use TrueFlow independently and remain responsible for the services they provide to their Clients.
As a Coach, you are responsible for:
- ensuring that programmes, targets, notes, resources and other content you create or assign are appropriate for the relevant Client;
- the professional advice, coaching, training, nutrition guidance or other services you provide;
- obtaining and maintaining any qualifications, registrations, licences and insurance required for your work;
- complying with professional, safeguarding, consumer and other legal obligations applicable to your coaching practice;
- ensuring that you have a lawful basis for collecting and using your Clients' personal data, including health-related information;
- providing Clients with any privacy information you are required to provide as a data controller;
- only entering Client information into TrueFlow where you are entitled to do so; and
- responding appropriately to Client requests relating to the coaching service or personal data for which you are the controller.
Knowhow does not verify or guarantee a Coach's qualifications, competence, professional status, insurance, advice, or suitability for a particular Client unless we expressly state otherwise.
5. Client responsibilities
As a Client, you agree to:
- use TrueFlow only for lawful purposes;
- keep your access code confidential;
- provide information that is accurate to the best of your knowledge when recording progress or other information; and
- follow appropriate professional or medical advice where relevant rather than treating TrueFlow as a substitute for such advice.
6. Health, fitness and coaching disclaimer
TrueFlow is a software platform, not a healthcare provider or coaching professional.
A Coach is responsible for the personalised programme, targets, instructions and advice they provide to their Clients.
TrueFlow may also provide generic starter exercise names, categories, coaching cues or links to third-party demonstration videos to help Coaches build their own libraries. This material is general reference content only. It is not personalised advice, does not take account of an individual's medical history, injuries, abilities or circumstances, and does not replace a Coach's professional judgement.
Before starting or materially changing an exercise, nutrition or wellbeing programme, users should seek appropriate professional or medical advice where their health, symptoms, injuries, medication, pregnancy, disability or other circumstances make this advisable.
If you experience pain, illness or other concerning symptoms, stop the relevant activity and seek appropriate professional advice.
External videos and resources may be provided by third parties. We do not control third-party services and do not guarantee that external content will remain available, accurate or suitable.
7. Acceptable use
You must not:
- use TrueFlow for an unlawful, fraudulent or abusive purpose;
- attempt to access another user's information without authorisation;
- attempt to discover, brute-force, bypass or misuse Client access codes or other security controls;
- interfere with the security, integrity or operation of TrueFlow;
- introduce malicious code or use TrueFlow to distribute harmful material;
- scrape, reverse engineer or systematically extract TrueFlow data except where applicable law expressly permits it;
- upload or share content that infringes another person's intellectual property, privacy or other rights; or
- use TrueFlow in a way that could reasonably cause harm to another person or to the Service.
We may restrict or suspend access where reasonably necessary to protect users, comply with law, investigate misuse, maintain security, or enforce these Terms.
8. Coach subscriptions
Paid TrueFlow subscriptions are for Coaches. Clients do not purchase a TrueFlow subscription in order to access a plan provided by their Coach.
Coach subscriptions are purchased through the Apple App Store or Google Play. The price, billing period, any free trial or introductory offer, and other purchase information shown by the relevant store at the time of purchase form part of the subscription terms. Prices may vary by country, currency, taxes and storefront.
Unless the store states otherwise, subscriptions automatically renew until cancelled.
You can manage or cancel a subscription through the Apple App Store or Google Play account through which it was purchased. Cancellation normally stops future renewal; it does not ordinarily terminate access already paid for before the end of the current billing period, subject to the relevant store's rules.
Refunds and payment disputes are subject to applicable law and the policies of the store through which the purchase was made.
Deleting or requesting deletion of a TrueFlow account does not automatically cancel an Apple App Store or Google Play subscription. You should cancel an active subscription through the relevant store separately to prevent future renewal.
Knowhow does not collect or store your payment-card details for in-app subscriptions.
9. Coach and Client relationship
TrueFlow is not a party to the agreement between a Coach and their Client.
Any fees a Client pays their Coach, appointment arrangements, professional services, cancellations, refunds or disputes relating to coaching are between the Coach and Client. TrueFlow does not currently process payments from Clients to Coaches or arrange appointments between them.
10. Content and intellectual property
10.1 TrueFlow
The TrueFlow software, design, branding, databases, and content supplied by Knowhow are owned by or licensed to Knowhow and are protected by applicable intellectual-property laws.
We give you a limited, personal, non-exclusive, non-transferable and revocable right to use TrueFlow for its intended purpose while you are entitled to access the Service.
10.2 Coach content
Coaches retain any intellectual-property rights they have in original programmes, exercises, coaching notes and resources they create.
A Coach grants Knowhow a non-exclusive licence to host, store, reproduce and display that content only to the extent reasonably necessary to operate, secure and provide TrueFlow and make the content available to the Coach and relevant Clients.
You must have the necessary rights to any content you upload or link to.
10.3 Personal data
Rights in personal data are governed by applicable data-protection law and our Privacy Policy. Nothing in these Terms is intended to treat a person's statutory data-protection rights as intellectual-property ownership.
11. Data protection
Our handling of personal data is described in the TrueFlow Privacy Policy.
For personal data relating to a Coach's Clients that Knowhow processes on the Coach's behalf, the Coach will generally act as controller and Knowhow as processor.
Where Knowhow acts as processor, Knowhow will:
- process Client personal data only on documented instructions from the Coach, except where law requires otherwise;
- ensure persons authorised to process the data are subject to appropriate confidentiality obligations;
- implement appropriate technical and organisational security measures;
- use subprocessors only subject to appropriate data-protection obligations;
- provide reasonable assistance to the Coach, taking account of the nature of the processing, with data-subject rights requests and applicable security, breach, impact-assessment and regulatory obligations;
- notify the Coach where required if we become aware of a personal-data breach affecting data processed on the Coach's behalf;
- at the end of the relevant processing relationship, delete or return personal data as required by applicable law and our applicable retention arrangements; and
- make information reasonably necessary to demonstrate compliance with applicable processor obligations available as required by law.
The subject matter and purpose of the processing is the provision of the TrueFlow coaching-management service. Processing may continue for the duration of the Coach's use of TrueFlow and applicable retention periods. The data may include Client identity information, programmes, exercise records, completion history, body measurements, nutrition and wellbeing information, and other information entered through the Service. Data subjects are the Coach's Clients.
Our current subprocessors and further information about how information is handled are described in the Privacy Policy.
12. Removing Clients and deleting accounts
Clients. A Coach may remove a Client, and a Client may delete their own client account in the app (More → Delete account). In either case the Client's access code stops working, the Client is removed from the Coach's active view, and the Client record and associated completion, daily and exercise logs are scheduled for permanent deletion after 30 days.
Before the 30 days have passed, we may reinstate a Client record if the Client, or the Coach who removed them, asks us to at support@mytrueflow.uk. We may need to verify the request first, and reinstatement is at our discretion and is not guaranteed. After 30 days, deletion is permanent and cannot be reversed. We will not reinstate a Client record where the Client has asked us to erase their information.
A Client may also request erasure of their personal data. Such requests will be handled in accordance with applicable data-protection law and may be completed sooner where required.
Coaches. A Coach may delete their account in the app (More → Delete account) after a confirmation prompt. Coach account deletion takes effect immediately and is permanent. It deletes the Coach's profile and login, the Coach's Clients and their associated records, and the Coach's programmes, exercise library, templates and resources. A deleted Coach account cannot be reinstated, and the Coach's Clients will lose access. Before deleting, a Coach should make sure they have kept anything they need, as deleted data cannot be recovered.
A Coach who cannot use the in-app option may instead ask us to delete their account by emailing support@mytrueflow.uk. We may need to verify the request first.
Some information may need to be retained where required by law or where another lawful basis for retention applies.
Remember that account deletion and cancellation of an App Store or Google Play subscription are separate actions.
13. Availability and changes
We aim to provide a reliable Service but cannot guarantee that TrueFlow will always be available, uninterrupted or error-free.
We may update, improve, replace, restrict or discontinue features where reasonably necessary, including for security, legal, technical or product reasons.
Where a change materially affects your rights or the nature of a paid Service, we will provide notice where required by law.
14. Suspension and termination
We may suspend or terminate access where reasonably necessary because of:
- a material or repeated breach of these Terms;
- unlawful or abusive use;
- a security risk;
- non-payment or loss of an applicable Coach entitlement;
- a legal or regulatory requirement; or
- conduct that creates a material risk to TrueFlow or its users.
Where reasonably practicable and appropriate, we will provide notice before terminating an account.
You may stop using TrueFlow at any time. Coach subscription cancellation and account deletion are dealt with separately as described above.
15. Liability
Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any liability that cannot lawfully be excluded.
If you are a consumer, nothing in these Terms affects rights you have under applicable consumer law.
Knowhow is responsible for losses that are a foreseeable result of our breach of these Terms or our failure to use reasonable care and skill. We are not responsible for losses that are not foreseeable.
To the extent permitted by law, Knowhow is not responsible for:
- the acts, omissions, professional services or advice of a Coach;
- injury or loss caused by a Coach's programme or instructions except to the extent caused by Knowhow's own breach of duty;
- information entered inaccurately by a Coach or Client;
- third-party websites, videos, resources, app stores or services outside our control;
- loss caused by a user's failure to protect their credentials or access code where we have taken reasonable security measures; or
- business losses suffered by a user acting wholly or mainly for business purposes that were not reasonably foreseeable when the contract was entered into.
Nothing in this section is intended to exclude responsibility that applicable law requires Knowhow to bear.
16. Changes to these Terms
We may update these Terms to reflect changes to TrueFlow, law, regulation, security requirements or our business.
The current version and effective date will be published with the Terms. Where a change is material, we will take reasonable steps to notify affected users and, where appropriate, require acceptance of the updated version before continued use.
17. Governing law
These Terms are governed by the laws of England and Wales.
If you are a consumer resident elsewhere in the United Kingdom or another country, you may also have mandatory rights under the laws that apply where you live, and nothing in these Terms removes those rights.
The courts with jurisdiction will be determined in accordance with applicable law.
